what i collect, and what i do with it.

Most privacy policies are written so nobody finishes them. This one tells you exactly what gets recorded, exactly who else can see it, and exactly how to make me delete it. If something here reads as vague, that's a bug... email me and i'll fix the wording.

01

who you're dealing with

Answer 865 (answer865.com), thejaycampbell.com and the services described here are run by Jay Campbell, a sole proprietor based in Knoxville, Tennessee. There is no company behind me, no data team, and no third party i hand your details to for money. When this page says "i", it means one person.

Reach me at jay@thejaycampbell.com. That address is where privacy requests go, and i answer them myself.

02

the short version

  • Browsing this site logs your visit, including your IP address and the rough city it maps to. It is stored in my private database, processed by the providers listed below.
  • Demo requests include your name, email, optional phone and page of origin. Contact forms include your name, email and message. I use these to respond and follow up, with the providers listed below.
  • Calls to the AI answering line are recorded and transcribed. Every call, not a sample.
  • I do not sell any of it, i do not share it for anyone else's marketing, and there are no ad or retargeting pixels on this site.
  • Ask me to delete something and i delete it. You do not need a legal reason and you do not need to live in a state that has a privacy law.
03

what this website collects

The first visit to each page in a browser session sends a record to my own server, which stores it in a private database and pushes a notification to my phone. That record contains:

  • the page you landed on, including query parameters and campaign tags in the link (utm_source, utm_medium, utm_campaign, utm_term, utm_content)
  • the site or search engine you came from, if your browser reports one
  • your IP address, and the approximate city, region, country, and internet provider it maps to
  • your browser, operating system, and full browser user-agent string
  • your browser's language, time zone, screen size, and connection type
  • a random ID stored in your browser so repeat visits from the same browser line up

I also record when you click a link that leaves this site, and when you click through to the contact page. Known crawlers and bots are skipped entirely.

On Answer 865 offer pages, I also record a small set of buying-funnel actions: viewing pricing, opening the demo request, receiving the demo number, clicking the call link, starting a setup inquiry, and successfully sending that inquiry. Those records contain the offer page path, the site domain, the trade when the page has one, whether the inquiry started from the main offer page or a trade page, and the selected plan when one was selected. They do not contain your name, email address, phone number, form message, call recording, transcript, full link, query string, or campaign text.

A click on the demo phone number records only the intent to call. Actual calls are counted separately from the telephone provider's call records and are not inferred from a click.

The random ID lives in your browser's local storage under the key tjc_vid, not in a cookie. It is a random string with no name attached to it. Clearing site data for answer865.com or thejaycampbell.com deletes that site's copy; the next visit generates a new one. The sites keep separate IDs. Session storage also remembers which pages were already logged in this tab.

My server sends your IP address to ipwho.is for an approximate location lookup over an encrypted connection. Separately, your browser loads fonts from Google Fonts, which means Google's servers see the request your browser makes for them.

straight up: i collect this visit information to understand interest in the service. i use it to see which pages actually make a phone ring. it is not sold or used for advertising. service providers process it as described below.

04

demo requests and contact forms

The demo request form on Answer 865 collects your name, email, optional phone number and the page you requested from. I use them to provide access to the demo and follow up personally about your shop. Requesting the number does not subscribe you to a newsletter or automated marketing sequence.

When you send the form on the contact page, i receive your name, your email address, your message, and the IP address and browser the message was sent from. Both forms use Resend for email, Notion for recordkeeping and ntfy for a phone alert. Phone alerts contain no submitted personal information: they name which form was used, not your name, email or message. Both forms process the request IP address and browser information. Success requires acceptance by at least one of the email or database providers; notifications can fail independently.

Both forms are protected by Cloudflare Turnstile, which runs a background check that you are a person rather than a script. Cloudflare sees that request.

I use what you send me to reply to you and, if we end up working together, to run the work. I do not add you to a mailing list from the contact form. My newsletter is a separate thing you sign up for on purpose.

05

what i never do with it

  • I do not sell personal information, and i never have.
  • I do not share it with anyone for their own advertising or marketing.
  • There are no advertising pixels, no retargeting tags, and no third-party analytics scripts on this site.
  • No mobile phone number or text-message consent is shared with third parties or affiliates for marketing or promotional purposes, ever.
  • I do not use what a caller tells the answering line to sell them anything else.
06

if you call a shop i answer for

Some businesses use my AI answering service to pick up the calls they miss. If you call one of them and the AI answers, here is what happens to what you say.

straight up: the call is recorded and transcribed. every call, not a sample. the greeting says so out loud in the opening greeting on every line, and no shop can switch that off. callers can interrupt or miss it. it is recorded so the owner can hear what you actually said instead of working off a garbled note, and so a wrong address can be corrected from the recording rather than guessed at.

What gets captured on a normal call:

  • the number you called from
  • your name and a callback number, if you give them
  • the service address, if you give one
  • what you said was wrong, and anything else you said during the call
  • an audio recording and a written transcript of the whole call
  • the appointment window, if one was booked

A summary goes to the shop by text. Booking details go to the connected calendar when an appointment is made. Audio and transcripts stay with the telephone provider; the audio is not included in the text message. The shop owns it. I run the system for them, and i can see it in order to keep the system working.

Ask it straight out whether it is a person and it will tell you it is not, as instructed in its configuration. AI can make mistakes; tell me if an answer is wrong. What it cannot do is put you through to somebody: there is no human sitting behind it waiting to take over, so if you would rather deal with a person, hang up and text the shop, and the owner gets a note either way. If you want your recording deleted, email me and tell me the number you called from and roughly when, and i will delete it and tell the shop i did.

07

the demo line

The demo number provided after a successful request is a sales demo, not a real business line. It plays the part of a Knoxville HVAC shop so a contractor can hear what answering sounds like.

Calls to it are recorded and transcribed like any other call, and a summary of the call, including the number you called from, is texted to me. Nothing you say to the demo reaches a real dispatcher, and no real technician gets sent anywhere. Do not give it anything you would not put in an email to a stranger.

08

text messages

The service sends text messages, and this is exactly what they are.

  • Business owners receive call summaries and service messages. Depending on the agreed setup, customers may also receive booking confirmations, reminders, rescheduling messages, requested quote follow-up and review requests. Customer messaging is configured separately before activation, with the appropriate consent and opt-out handling.
  • Texts come from a number that belongs to the service, not from your own shop number.
  • Message frequency depends on how many calls you get. Message and data rates may apply.
  • Reply STOP to any message to stop receiving them. Reply HELP for help, or just email me.

straight up: no mobile information, phone number, or text-messaging opt-in is shared with third parties or affiliates for marketing or promotional purposes. consent to receive these messages is never sold, rented, or passed on.

Stopping the texts does not cancel the service, and cancelling the service stops the texts. If you want both, say both.

09

if you're a shop that hires me

When i run the answering line for your business, the calls, the recordings, the transcripts and the customer details that come out of them are your business records. I hold them so the system can work. I do not treat them as mine.

  • I do not use your customer list to contact your customers about anything except the service communications, follow-up and review requests agreed with your shop and permitted by their consent.
  • I do not sell it or share it for someone else's marketing. Service providers process it to run your agreed service.
  • If you buy the tier where i keep your customer and job records, that data lives on managed hosting that gets backed up, not on a laptop and not on a machine at my house.
  • You can ask for an export of the records i still hold at any time, in a format you can open. Request it before the retention period ends if you need an ongoing copy.
  • When you stop working with me, you get the export and then i delete my copies.

The exact commitments around cancelling, exporting and deletion are in the terms.

10

who else touches the data

Running any of this means using other companies' services. These are the ones that can see some part of it, and what they see:

  • Vercel: hosts this website, so it handles every request to it and keeps its own server logs.
  • Telnyx: carries the phone calls and text messages, and stores the call recordings and transcripts. Its configured AI and speech providers also process call audio or text to produce the conversation.
  • Cal.com and Google Calendar: hold the bookings the assistant makes on a shop's calendar.
  • Notion: the private database where site visits and contact messages and demo requests are stored.
  • Resend: delivers the email that tells me a contact form or demo request came in.
  • ntfy: delivers the push notification to my phone.
  • Cloudflare: runs the Turnstile bot check on contact and demo request forms.
  • ipwho.is: turns an IP address into an approximate city.
  • Google Fonts: serves the two typefaces this site uses.
  • beehiiv: runs my newsletter, if you subscribe to it.

Each of them has its own privacy policy and i am not going to pretend i control what they do internally. What i control is what i send them, which is only what the job needs.

11

how long i keep it

Call audio in the answering service's active Telnyx storage is scheduled for deletion 30 days after the recording ends. Transcripts and call summaries stored with the assistant's conversation history are scheduled for deletion 90 days after the last message. This includes the demo. An automated job checks hourly and removes expired records on the next successful run.

You can request shorter periods during setup. We agree and configure them before your line goes live. Ask for an export before expiry if you need to keep a copy. A service or provider outage can delay cleanup; the job retries when service is available.

Texts, emails, downloaded exports and calendar or job records are separate copies. The recipient controls how long those copies stay. Demo summaries sent to my phone are cleared manually, not by this job. Service providers may separately retain processing, security and billing records under their own policies.

Original demo requests in my Notion lead database and the original notification emails in my Gmail are scheduled to move to trash after 90 days, including requests from people who later become customers. The clock starts when each record is received. An hourly cleanup checks for expired requests. Separate customer account records and subsequent correspondence are not included.

This removes requests from active records. Gmail normally permanently deletes trash after another 30 days. Notion also retains trash and recovery copies under its own policy. Provider backups and delivery logs follow provider policies. This is not a promise of permanent erasure from every system on day 90.

New demo-request phone notifications contain no submitted name, email, phone number or message. Older phone notifications may contain request details and still require manual deletion. Copies you or i separately export or forward are outside this automatic cleanup.

Site visit records and other contact messages stay until i clear them or you request deletion. When we stop working together, i export the business records i still hold and delete my service copies.

12

getting a copy, or getting it deleted

Email jay@thejaycampbell.com and tell me what you want: a copy of what i hold about you, a correction, or deletion. I will do it and confirm when it is done.

You do not need to cite a law and you do not need to live somewhere that has one. If you are covered by a state privacy law that gives you these rights formally, you have them here too, including the right not to be treated differently for using them. I may need to check you are who you say you are before handing over a copy of somebody's data, which is protection for you rather than an obstacle.

One limit worth stating: if you were a caller to a business i answer for, the record of your call is that business's record too. I will delete my copy and tell them you asked, but i cannot delete their copy of their own customer note for them.

13

kids

None of this is aimed at children, and i do not knowingly collect information from anyone under 13. If a child's details ended up in here somehow, email me and it is gone.

14

changes to this page

If what i collect changes, this page changes with it, and the date at the top moves. I am not going to quietly widen this and rely on you re-reading it. If a change is material for somebody i already work with, they get told directly.

Questions about any of this

ask me. plain question, plain answer, no ticket number.

jay@thejaycampbell.com reaches me directly. So does the contact form.
